SeekingSitters Privacy Policy

1. Who we are and what this policy covers

SeekingSitters connects families with babysitters and childcare providers. In this policy, "SeekingSitters", "we" and "us" mean Calyer Enterprises of North Texas, LLC DBA SeekingSitters, PO BOX 1203, Frisco, Texas 75034.

This policy covers:

  • our websites, including www.seekingsitters.com, new.seekingsitters.com, and our local location websites;
  • the member, sitter, and office portals on those websites; and
  • the SeekingSitters mobile app.

These all use one shared system, so what you enter in one place (for example, on the website) is available to you and your office in the others (for example, in the app).

SeekingSitters locations are either operated by us or independently owned and operated franchisees. The location (the "office") that serves you receives your information and uses it to arrange and manage your care. Offices handle your information under this policy. You can send questions or requests about your information to your office or to us, and we will make sure they are answered.

Our services are used by families ("Members"), babysitters ("Sitters"), office staff, and Solutionists, who interview sitter applicants.

2. What we collect

2a. From families (Members)

  • Your name, home address, and the address of each booking. If you sign up on behalf of a business, the business name.
  • Information about your children that you choose to give us so a sitter can care for them: names, birth dates, gender, allergies, special needs, bedtime and care instructions, interests, and other instructions.
  • Emergency information, including your pediatrician's and dentist's names and phone numbers.
  • For group events, whether any attendees have special needs and any details you provide. This can include disability information.
  • Account verification information: your residence history and your answers to screening questions (for example, about criminal convictions), confirmed with your initials, plus any driving waiver you sign. We also run a background screening on families before a sitter is sent to your home.
  • Booking requests, notes to your office or sitter, and feedback you write about sitters.
  • How you heard about us, who referred you, and any coupon code you use.
  • Payment details. In the app, you type a card into a secure page hosted by our payment processor. We do not receive or store the full card number. When you pay by card on our websites, the card is handled by our payment processors, and we keep limited card details, such as the card type and last four digits, to identify the card on your account. If you pay by check, your office may record the check number.

2b. From sitters and sitter applicants

  • Your name, address, date of birth, gender, profile, availability, and job history.
  • Your application, whether you apply on our website or through an office: your childcare experience, certifications (for example, CPR, first aid, and lifeguard), whether you are qualified to work with children with special needs, whether you have worked for a SeekingSitters location before, and how long you plan to look for work.
  • Interview information recorded by office staff and Solutionists, such as whether you hold a driver's license, work eligibility, and interview notes.
  • Your Social Security number. We use it to request your background screening and to make sure each applicant is registered only once. We store it encrypted.
  • Background screening results (see below).

Background screening. Before a sitter works with families, and with the sitter's written authorization, we obtain a background report (a consumer report) about the sitter from a licensed investigative consumer reporting agency. The screening includes:

  • Identity: confirming that the information you gave us is accurate, including checks for name or Social Security number fraud.
  • Address history: verifying where you have lived.
  • Public records: searching civil, criminal, and sex-offender records in the states, cities, and counties where you have lived.
  • Credit history: reviewing your credit report for collection accounts and charged-off accounts.

You receive a copy of the report, together with a summary of your rights under the federal Fair Credit Reporting Act. If you have questions about anything in the report, you can contact the agency that prepared it, and you can dispute information you believe is inaccurate. We may repeat the screening from time to time while you work with SeekingSitters.

  • Bank account and routing numbers you enter for direct deposit.
  • Hours worked, mileage, and expenses you submit, which determine your pay.

2c. From everyone with an account

  • Contact details: name, e-mail address, and phone number.
  • Your username and password, and an account ID that our system assigns to you.
  • Photos you choose to upload, such as a profile photo. The app uses the system photo picker, so it only receives the photos you select.
  • Messages you send through the app or portals, including chats between families and sitters. SeekingSitters and the office staff at your location can access messages sent through the app and portals, and review them for safety, customer support, or to resolve a dispute or complaint.
  • Messages you send to your office for help or support.
  • Notes that office staff record about your account, bookings, or application. Some of these notes are for office use and are not shown to you.

2d. From website visitors and inquiries

  • What you enter in our forms: requests for care, job inquiries, franchise inquiries, event registrations, and messages sent through the chat windows on our websites, including our local location websites. These usually include your name, e-mail address, phone number, ZIP code, and your message.
  • If you start signing up and do not finish, the details you entered before you stopped.
  • Information collected automatically through cookies and similar technologies, described in section 5.

2e. Diagnostic information from the app

If the app crashes, freezes, or hits an error, it sends a diagnostic report to our crash-reporting provider. A report contains technical details such as the app version, the type of error, and which screen was open. The app removes user, account, and device-name details before a report is sent, and does not attach the content of anything you typed or received. We set up the provider to minimize personal information in these reports, and we do not use them to identify you.

Test versions of the app. If you use a pre-release test version of the app through Apple's TestFlight, it also records how you move through the app: which screens you open and where you tap. Every piece of text, every photo, and everything you type is blacked out before the recording leaves your device. We use these recordings only to improve the app. The version of the app in the App Store does not make them.

The app does not access your device's location or contacts, and it does not collect an advertising identifier.

2f. Information from other sources

We also receive information about you from others: references you give us, the consumer reporting agency and the public-record, driving-record, and credit-reporting sources it uses, your office, and other users who give feedback.

3. How we use information

We use the information above to:

  • Create and run your account, and match families with sitters.
  • Arrange, carry out, and bill for bookings, and pay sitters.
  • Review sitter applications, screen and approve sitters, and verify family accounts.
  • Help sitters keep children safe, using the care, health, and emergency information families provide.
  • Let families, sitters, and offices message each other, and respond to inquiries and support requests.
  • Keep our websites working and protect our forms from automated abuse.
  • Understand how people use our websites, and measure and improve our advertising.
  • Find and fix problems in the app, using diagnostic reports.
  • Contact you about SeekingSitters services. We use your name, e-mail address, phone number, and address for our own marketing. If you begin signing up and do not finish, we may use the contact details you entered to remind you to complete your sign-up.

We use children's information, health information, special-needs details, screening information, and financial information only to provide the service. We do not use them for marketing.

4. Who we share information with

  • Your office. The location that serves you receives your information to manage your bookings, billing, and account. If you use more than one location, each one you use can see it.
  • Families and sitters, as needed for care. A family sees a sitter's profile. A sitter assigned to a booking sees the details needed to provide care, such as the address, your children's information, and emergency information. We share your family's emergency information and each child's allergies, special needs and care instructions with the sitter assigned to your job, only while the job is assigned or scheduled, so they can keep your children safe.
  • The consumer reporting agency that prepares sitters' background reports receives the information it needs to prepare them, such as your name, date of birth, Social Security number, and address history.
  • Background reports. A sitter's background report is used only by SeekingSitters. It may be shared with the sitter and with families the sitter has cared for through SeekingSitters. It is not given to anyone else.
  • Settle Up for Care, LLC DBA Online Business Transactions, a separate company that processes sitter payouts. It holds sitters' payout bank details and the pay information needed to pay them.
  • Service providers that work on our behalf: hosting, e-mail and text-message delivery, payment processing, crash reporting, website chat and forms, and marketing communications. They may use your information only to provide those services to us.
  • Analytics and advertising partners, through the website cookies described in section 5.
  • Legal and safety reasons. We may disclose information when the law requires it, or when we believe it is necessary to protect the safety of a child or anyone else.
  • Business transfers. If a SeekingSitters location changes owners, or if all or part of our business is sold, merged, or reorganized, your information may transfer to the new owner, who must use it consistently with this policy.

We do not sell your information for money. Some state laws treat the advertising cookies described in section 5 as a "sale" or "sharing" of personal information. You can opt out with Global Privacy Control or by contacting us. Apart from those cookies, we do not share your information with other companies for their advertising. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes, except the service providers that deliver our text messages. Text-messaging opt-in data and consent will not be shared with any third parties.

5. Cookies, analytics and advertising

The app. The SeekingSitters app does not track you across other companies' apps or websites, and it contains no advertising tools. Its only analytics are the masked recordings in pre-release test versions, described in section 2e.

Our websites use cookies and similar technologies for three purposes:

  • Site functionality. Keeping you signed in, remembering a sign-up in progress or a referral code, protecting forms against automated abuse, and running chat windows, embedded videos, and social media buttons. Some of these come from the providers of those features and may set their own cookies.
  • Analytics. Measuring which pages are visited and how people move through the site, so we can improve it. We use Google Analytics and Microsoft Clarity. Microsoft Clarity captures how you use our website (clicks, scrolling and mouse movement) as behavioral metrics, heatmaps and session replays, using first- and third-party cookies, so we can find and fix pages that are hard to use. It does not capture what you type into forms, and we do not use it on payment pages. We use this information to improve the site and for fraud and security purposes, not for advertising. To learn how Microsoft collects and uses your data, see the Microsoft Privacy Statement.
  • Advertising. Measuring whether our ads lead people to sign up. Some local location websites may also use advertising tags that let the ad platform show SeekingSitters ads to people who visited the site.

You can control these:

  • Browser settings. Most browsers let you block or delete cookies. If you block all cookies, signing in and some forms will not work.
  • Google Analytics. Install the Google Analytics opt-out browser add-on at https://tools.google.com/dlpage/gaoptout.
  • Microsoft Clarity. Blocking or deleting cookies in your browser settings limits what Clarity can collect.
  • Google ads. Manage ad personalization at https://myadcenter.google.com.
  • Meta (Facebook and Instagram) ads. Manage ad preferences at https://www.facebook.com/adpreferences.
  • Global Privacy Control. Our websites treat a Global Privacy Control (GPC) signal from your browser or a browser extension as a request to opt out of targeted advertising. Learn more at https://globalprivacycontrol.org.

6. Children

SeekingSitters is used by parents and caregivers to arrange care for their children. Families give us information about their children, such as allergies and their doctor's contact details, so that sitters can care for them safely. Our websites and app are not directed to children, and children do not create accounts. Members and sitters must be 18 or older. If you believe a child has given us information directly, contact us and we will delete it.

7. Keeping and protecting information

We keep your information while your account is active, and afterward as long as needed to provide the service and meet legal, tax, and accounting obligations.

The app and our websites send information over encrypted connections. We limit access to the people and providers who need it to run the service. No system is perfectly secure, so we cannot guarantee absolute security.

8. Your choices

  • Update your information. You can change most of your profile, contact, and family details in the app or the portal, or ask your office to change them.
  • Delete your account. Members and sitters can delete their account in the app (More > Account > Delete Account) or on our website (Account > Delete my account). Deletion is immediate and permanent: you are signed out everywhere, your login stops working, and your personal information is erased at every location you use. We keep billing and payment records where required for financial and tax recordkeeping; for sitters, this includes your name, address and tax ID on pay and tax records, for as long as tax law requires. Background check records are kept for 5 years without being linked to your login, and then deleted. You can't delete your account while you have a booked job, an unpaid balance or, for sitters, pay that hasn't reached you yet; the app or website will tell you what's open. You can also ask your office or contact us to delete your account.
  • Marketing e-mails. Use the unsubscribe link in any of our marketing e-mails to stop receiving them.
  • Text messages. We send texts about your bookings and account. We send marketing texts only if you agree to receive them, and agreeing is not a condition of using our service. Message frequency varies. Reply HELP for help or STOP to opt out. Message and data rates may apply.
  • Opt out of targeted advertising. Turn on Global Privacy Control in your browser, or use the controls in section 5. You can also contact us to opt out.
  • Cookies. See section 5.

Your privacy rights. Wherever you live, you can ask to see, correct, or delete your information, get a copy of it, or opt out of targeted advertising. E-mail [email protected] or call us (section 10). We will confirm your identity using details already on your account, and answer within 45 days. Someone you authorize in writing can ask for you. If we turn down your request, you can appeal by replying to our answer, and we will respond within 60 days. We will not treat you differently for using these rights.

9. Changes to this policy

We may update this policy from time to time. When we do, we will post the updated version on this page with a new effective date.
